TITLE: Human Resources Administrative Assistant
REPORTS TO: Administrator of Human Resources
This position is responsible for assisting the human resources department with administrative support, including records management and fingerprinting and background checks, and relief of receptionist services. It requires the individual to present themselves to visitors and guests in a neat and friendly manner with a high level of confidentiality.
Associates Degree preferred or equivalent combination of education and experience
One to three years related experience in an administrative support position is preferred
Knowledge of computer software applications such as Microsoft Office/Google Suite
Possess strong organizational skills relative to managing priorities and storing and retrieving information
Strong interpersonal skills to communicate effectively
Ability to function with a keen attention to detail
Good dependability skills as reflected by assuming ownership for assignments, being regular and punctual in attendance as scheduled
Ability to acquire and apply new understandings and skills
ESSENTIAL JOB FUNCTIONS:
Create and maintain personnel files on all VBISD employees.
Fingerprint new and current employees, local district employees and substitutes.
Stay up to date on State Legislation concerning fingerprinting laws and regulations
Process monthly billings for local school district fingerprinting to finance department
Process in-house transfers monthly for departmental billing of fingerprinting
Process and monitor misconduct letter and form on all new VBISD employees and sub aides
Create and maintain non-personnel files
Assist with the advertisement of job postings
Copy forms in HR department, as needed
Distribute Hepatitis B shot information to new staff, as needed
Protect the confidentiality of all records of the district which are placed under his/her jurisdiction.
Operate switchboard and direct all telephone calls to the appropriate staff
Other duties as assigned
While performing the duties of this job, the employee is regularly required to sit or stand for long periods of time and occasionally must manually move, lift, carry, pull or push heavy objects or materials. The employee must occasionally lift and/or move up to 50 pounds or more of files, paper or other related equipment or supplies. There is occasional stooping, bending and reaching. Close vision is required to perform computer related tasks.
The noise level in the work environment is usually moderate.
